Corporate Account & Travel Partner Acquisition
Win corporate chauffeur accounts: RFP and tender responses, duty-of-care documentation, procurement-ready credentials, travel agency and hotel partner channels.
Corporate work is what changes a chauffeur business. One account with a professional services firm, a hospital group, a mining or energy company or a hotel can produce recurring bookings every week at a rate that does not have to be discounted, with invoicing rather than card payments and with a planning horizon that lets you staff properly.
It is also the work most operators never win, and not because of service quality. They lose it because corporate procurement is a documentation exercise before it is a relationship one. A travel manager needs evidence of insurance limits, accreditation, driver vetting, duty-of-care procedure, incident reporting, data handling and invoicing capability. An operator who responds to an RFP with a rate card and a fleet photo is eliminated at the first screen regardless of how good the driving is.
We build the corporate side: the credentials pack that survives procurement, the tender and RFP responses, the outbound approach to the account types that actually suit your fleet, and the channel relationships with travel agencies, hotels, event organisers and corporate travel managers that produce repeat work without a tender at all.
The problem
What this fixes
No procurement-ready credentials pack
Corporate buyers ask the same questions every time — insurance, accreditation, driver vetting, duty of care, incident process, data handling, invoicing, contingency. Assembling answers from scratch for each enquiry is slow and inconsistent, and slow is often enough to lose it.
Tenders answered like quotes
An RFP is scored against stated criteria. Replying with a rate and a vehicle list, and ignoring the compliance and service-level sections, scores near zero no matter how competitive the price is.
No duty-of-care story
Any employer putting staff in a vehicle carries a duty of care. Operators who cannot explain driver vetting, fatigue management, vehicle safety and incident escalation are a liability a travel manager will not take on.
Waiting for corporates to find you
Corporate accounts are rarely won inbound. They are won by approaching the right account types with the right evidence at the point where their existing provider has let them down.
Scope
What we actually deliver
Corporate credentials pack
A single document covering company background, fleet and capacity, service coverage, insurance and accreditation evidence, driver vetting and training, duty-of-care procedure, incident and escalation process, data handling, invoicing and account terms, and references where available.
RFP and tender response capability
Responses written against the stated evaluation criteria, with a reusable answer library so each subsequent tender takes days rather than weeks and nothing material gets left out under deadline.
Target account list built for your fleet
Account types matched to what you can actually service profitably — professional services, healthcare, resources and energy, education, government, hotels, event organisers, production companies — identified across your real coverage area rather than from a generic list.
Outbound programme
Structured approach to travel managers, executive assistants, procurement and office managers, with sequencing and follow-up that respects how these buyers actually make decisions and how long their contract cycles are.
Travel agency and hotel channels
Relationships with travel management companies, corporate travel agencies, hotel concierge desks and event organisers — the channels that deliver repeat bookings with no tender process attached.
Account onboarding and documentation
Account application, authorised booker lists, cost centre and reference code handling, service level agreements and invoicing terms set up so a new account runs cleanly from the first booking.
Account management and retention
Reporting the account actually wants — spend by cost centre, on-time performance, incidents — plus review cadence. Corporate accounts are lost on reporting and consistency far more often than on price.
Website and digital path for corporate buyers
A corporate page and account enquiry path separate from retail booking, with the credentials available on request, so a travel manager researching you finds the right material immediately.
Process
How the engagement runs
STEP 1
Credentials audit
Establish what evidence you can genuinely provide today — insurance limits, accreditations, vetting standards, documented procedures — and identify the gaps that would fail a procurement screen.
STEP 2
Close the gaps and build the pack
Document the procedures that exist informally, obtain the evidence that is missing, and assemble the credentials pack. Several gaps are usually process-writing rather than new cost.
STEP 3
Target and approach
Build the account list against your coverage and fleet, then run the outbound programme with the credentials pack ready to send the moment interest appears.
STEP 4
Respond and win
Tender and RFP responses written to the criteria, with the answer library growing after each submission.
STEP 5
Onboard and retain
Clean account setup, agreed service levels, and the reporting cadence that keeps the account through the next procurement cycle.

FAQ
Questions operators ask us
Can we win corporate accounts with a small fleet?
Yes, with the right targets. A five-vehicle operator will not win a national multi-city contract, but mid-sized local firms, hospitals, hotels and event organisers often prefer a smaller operator who answers the phone and knows the executives by name. Targeting is the whole game.
What do corporate buyers actually require?
Typically evidence of insurance at their required limits, relevant operating accreditation, driver vetting and licence currency, a documented duty-of-care and incident process, data handling appropriate to passenger information, and the ability to invoice on account with cost centre reporting. The specific thresholds vary by buyer and by jurisdiction.
Do you guarantee we will win accounts?
No, and anyone who does is selling you something else. Corporate procurement cycles are long and often tied to contract renewal dates outside anyone control. What we control is being credible, documented and in front of the right buyer when the cycle opens.
Will you approach prospects as us or as an agency?
As your business. Outbound goes out under your brand with your contact details, because a travel manager wants to deal with the operator, not an intermediary.
How long does a corporate account take to win?
Longer than retail marketing. Many corporate accounts are tied to annual or multi-year contracts, so timing depends on where the account sits in its cycle. The practical approach is to be documented and present so you are shortlisted when the cycle turns.
Should we discount to win corporate work?
Rarely, and it is usually the wrong lever. Corporate buyers are weighing reliability, compliance and reporting against price. Operators who win on discount alone end up with a low-margin account that is also the first to leave.
Can you help with government tenders?
We can write the response, but government panels have specific registration, insurance and accreditation prerequisites that you must hold as the operator. We assess eligibility before investing time in a submission.
