Chauffeur Fleet Management & Operations
Fleet management for chauffeur operators: utilisation tracking, maintenance scheduling, compliance records and cost per kilometre by vehicle.
A chauffeur fleet is the largest asset on the balance sheet and usually the least measured part of the business. Most operators can tell you monthly revenue but not which vehicle earns least per kilometre, which one spends the most days off the road, or what the real cost of the S-Class is once finance, insurance, servicing, tyres, detailing and depreciation are counted against the hours it actually works.
The compliance side carries more risk than the cost side. Accreditation records, vehicle inspections, driver authority renewals, insurance currency and maintenance history are exactly what gets requested after an incident or during a corporate procurement review. An operator who cannot produce them on demand loses the account, and in a regulatory review the exposure is worse than commercial.
We run the fleet administration that keeps the vehicles earning and the paperwork defensible: utilisation visible per vehicle, maintenance scheduled before it becomes a breakdown, compliance documents tracked with expiry alerts, and cost per vehicle measured against the revenue it produces.
The problem
What this fixes
No idea which vehicles actually earn
Without revenue and cost tracked per vehicle, fleet decisions are made on instinct. Operators routinely keep a prestige vehicle that works forty hours a month and finance a replacement for the one that is genuinely profitable.
Maintenance handled as breakdowns
Servicing scheduled reactively means vehicles going off the road at the worst possible time, and a cancellation on a corporate job costs far more than the service would have. Unplanned downtime also forces farm-out at margins you would not choose.
Compliance documents scattered and expiring quietly
Accreditations, inspections, insurance certificates, driver authorities and licence renewals live in email, glove boxes and someone phone. The first time anyone notices an expiry is usually when a vehicle is stopped or a client asks for the certificate.
Driver documentation incomplete
Corporate clients and insurers increasingly ask for evidence of driver authority, background checks, licence currency and training. Not being able to produce it is a direct barrier to the highest-value accounts you want to win.
Scope
What we actually deliver
Utilisation tracking per vehicle
Hours and jobs worked, revenue produced and idle days, by vehicle and by month. This is the number that tells you whether the fleet composition matches the demand mix.
Cost per kilometre and per hour by vehicle
Finance, insurance, registration, servicing, tyres, fuel, cleaning and depreciation set against the revenue each vehicle produced, so fleet decisions are made on contribution rather than on which car you like.
Preventive maintenance scheduling
Service intervals tracked by kilometres and by date, scheduled into the quiet windows in your booking pattern rather than into a week that turns out to be full.
Compliance document register with expiry alerts
A single register of accreditations, vehicle inspections, insurance certificates, registrations, driver authorities and licences, with advance alerts before each expiry and documents retrievable on request.
Driver file management
Licence and authority currency, background and medical checks where required, training records and induction documentation kept complete and current, so a corporate due-diligence request can be answered the same day.
Incident and damage records
A consistent record of incidents, damage, repairs and insurance claims per vehicle, which matters both for claims and for resale.
Vehicle replacement and acquisition planning
Replacement timing modelled against utilisation, maintenance cost trend and resale value, and new acquisitions sized against the demand mix the booking data actually shows.
Monthly fleet reporting
One report covering utilisation, downtime, cost per vehicle, upcoming maintenance and upcoming compliance expiries — the operational picture an owner needs to make decisions rather than react.
Process
How the engagement runs
STEP 1
Fleet inventory and audit
Every vehicle documented with finance, insurance, service history, compliance status and current utilisation. For most operators this is the first time it has all existed in one place.
STEP 2
Build the registers
Compliance register with expiry dates, maintenance schedule per vehicle, and driver files brought up to a complete standard.
STEP 3
Instrument the numbers
Revenue and cost attributed per vehicle from your reservation system and accounts, so utilisation and cost per kilometre are measured rather than estimated.
STEP 4
Operate
Maintenance booked ahead, expiries actioned before they lapse, incidents recorded, monthly reporting delivered.
STEP 5
Plan
Quarterly review of fleet composition against demand, with replacement and acquisition recommendations grounded in the utilisation and cost data.

FAQ
Questions operators ask us
Do you physically service the vehicles?
No. We manage the administration, scheduling and records, and coordinate with your own workshops and suppliers. The mechanical work stays with the providers you already use and trust.
How small a fleet is worth managing this way?
The compliance register and driver files are worth having at any size, because the risk does not scale with fleet count. The utilisation and cost-per-vehicle analysis starts paying for itself once you have enough vehicles that they are not all equally busy.
Where does the data come from?
Your reservation and dispatch system for jobs and revenue, your accounts for costs, and your service providers for maintenance. We work with what you already have rather than requiring a new telematics platform.
Can you handle our accreditation renewals?
We track them, prepare the documentation and prompt the renewals. The accreditation itself is held by you as the operator, and in most jurisdictions only you can lodge it.
Will you tell us to buy more vehicles?
Only if the booking data supports it. More often the finding is that the existing fleet is under-utilised or wrongly composed, and the better answer is changing the mix rather than adding to it.
Does this require new software?
Not necessarily. We usually build the registers and reporting around your existing reservation system and accounting package. Adding another subscription is a recommendation of last resort.
Who keeps the records if we stop working with you?
You do. The registers, driver files and reporting are yours, held in your own systems, and handed over complete.
