Chauffeur Dispatch Services & Operations

Managed chauffeur dispatch: booking intake, driver allocation, flight monitoring, after-hours and overnight cover, and farm-in and farm-out coordination.

Dispatch is where chauffeur businesses quietly lose money. A missed call at 11pm is a booking that went to a competitor. A driver allocated badly adds an hour of unpaid deadhead. A flight that landed ninety minutes early and nobody noticed turns into a complaint and a refund. None of it shows up in a marketing report, and all of it comes straight off the margin.

It is also the function that stops an owner from growing. Most operators under twenty vehicles are dispatching personally, which means the person responsible for winning corporate accounts is answering the phone at 4am. Growth stalls not because demand is missing but because there is nobody left to handle it.

We run dispatch as a managed service — booking intake, allocation, flight monitoring and live job management inside your own reservation system, under your own brand, following your own rules. We are not a broker. We do not own the customer, we do not take a cut of the fare, and the bookings stay yours.

The problem

What this fixes

Calls going unanswered outside office hours

Chauffeur demand does not respect business hours, and urgent callers do not leave voicemail — they call the next operator. Unanswered after-hours calls are usually the largest single leak in an operation and the hardest one to see, because a call that never connected leaves no record.

Allocation by habit rather than by cost

Assigning jobs to whoever is top of mind creates unnecessary deadhead, awkward gaps between jobs and vehicles sitting idle while another driver does a double. Systematic allocation against location, vehicle class and the existing job sequence recovers real hours.

Flights not monitored

Early arrivals, delays, diversions and baggage holdups all change a pickup, and the passenger expects you to know before they do. Without active flight monitoring, airport work generates complaints and waiting-time disputes that were entirely avoidable.

The owner is the dispatcher

If the business cannot take a booking while the owner sleeps, is driving or is in a meeting with a prospective corporate client, the ceiling is set by one persons availability rather than by the market.

Scope

What we actually deliver

Booking intake across every channel

Phone, email, web form, booking engine and account requests handled and entered into your reservation system with the detail drivers actually need — flight number, terminal, pickup point, passenger count, luggage, child seats, special instructions.

Driver allocation and job sequencing

Jobs assigned against driver location, vehicle class, availability and the existing day sequence, with deadhead and gap time treated as a cost rather than ignored.

Flight monitoring for airport work

Active tracking of inbound flights with pickup times adjusted and drivers re-briefed for early arrivals, delays and diversions, plus passenger notification so nobody is waiting without information.

After-hours, overnight and weekend cover

Coverage set to the hours you choose, including the overnight window where most operators currently lose bookings outright. Escalation rules for genuine emergencies are agreed in advance.

No-show, delay and incident handling

A defined procedure for waiting time, contact attempts, no-show declaration and charging, applied consistently. Most no-show disputes come from the rule being improvised differently each time.

Farm-in and farm-out coordination

Overflow passed to trusted affiliates when you are at capacity, and inbound affiliate work accepted and allocated, with rates, confirmations and quality expectations tracked rather than handled ad hoc.

Driver communication

Job briefs, confirmations and live updates through whatever channel your drivers reliably use, with a record of what was sent and when, so disputes about what a driver was told have an answer.

Shift handover and reporting

Structured handover between shifts and a daily summary of jobs taken, jobs declined, missed calls and exceptions. The declined and missed columns are the ones that tell you where revenue is going.

Process

How the engagement runs

STEP 1

Document how you dispatch today

Your rules, rates, service standards, affiliate relationships, escalation thresholds and non-negotiables, written down. Most of this currently exists only in the owners head, which is why it cannot be delegated.

STEP 2

System access and setup

Access into your existing reservation and dispatch platform, phone routing, email and booking channels configured, and the handover points agreed.

STEP 3

Shadow period

We run alongside you before taking a shift unsupervised, so edge cases surface while you are still watching rather than at 3am in week one.

STEP 4

Take the hours

Usually after-hours and overnight first, since that is where the clearest revenue is being lost, then extended coverage as confidence builds.

STEP 5

Review and tighten

Regular review of missed calls, declines, exceptions, complaints and allocation efficiency, with the rulebook updated as patterns emerge.

FAQ

Questions operators ask us

Are you a broker? Do you take our customers?

No. We dispatch inside your system under your brand, and the customer relationship, the booking and the fare are yours. We charge for the dispatch service, not a share of the job.

Do you replace our dispatcher?

Only if that is what you want. Most engagements start by covering the hours nobody is covering — nights, weekends, overflow — alongside an existing dispatcher who keeps the daytime desk.

Which dispatch systems do you work in?

We work in the platform you already run, including Limo Anywhere and comparable reservation and dispatch systems. We do not require you to migrate in order to take the service.

How do you answer the phone?

As your business, following your greeting and your script. Callers are not told they have reached a third party.

What hours can you cover?

Anything from after-hours only through to full coverage. We scope it around where your bookings are actually being lost, which for most operators is the overnight and early-morning airport window.

What happens in a genuine emergency on a job?

Escalation rules are agreed before we start — accident, breakdown, a passenger safety issue or a VIP complaint all have a defined path that reaches you directly rather than waiting for a shift report.

How do we know you are allocating well?

You get the daily report and you keep full visibility in your own system. Jobs taken, declined, missed calls and exceptions are all reported, and the data is yours because it lives in your platform.
